  • Shared inboxes must have one main responsible person.

  • If an email takes less than 2 minutes, complete it immediately.

  • Use “snooze” if you need the information later.

  • When delegating, tag the email with the name of the person now responsible.

  • Transfer emails that take longer than 2 minutes into your to-do list.

  • Set automated rules for specific senders to keep the inbox clean.

The biggest trap
Shared inboxes without clear processes and responsibilities. They might look organized from the outside but create confusion inside.

How to set it up in one hour

  • Define clear responsibility for each shared inbox.

  • Write an SOP for how emails should be handled. Keep it short and practical.

  • Decide on one company-wide process so every team member follows the same rules. This makes handovers easier and reduces mistakes.
