You finally have your company folders in place. Now it is time for the next step: make it effortless to find what you need. Most businesses have some structure but no standard.
Everyone names files in their own way, and nobody knows which version is the right one.

If your drive is full of Final_v2, Final_Updated, and NewVersion_ThisOne, you are not alone. It is normal, but it is costly.

This week’s action step: Standardize your file naming and folder system.
Your goal: one simple naming rule that everyone follows, so every file is easy to find and ready to use.

How to do it in one hour

  1. Create clear naming rules.
    Keep them short, consistent, and logical.

    • Use dates in the same format: YYYY-MM-DD

    • Use the same pattern: Client_Project_Version

    • No special characters, random capitals, or long sentences

  2. Example:
    2025-10-17_ClientProposal_V3.pdf
    2025-10-17_MarketingPlan_Q4.xlsx

  3. Write a short File Naming Guide.
    Add it to your main folder as File and Folder Naming Guide.
    Include:

    • Your agreed date format

    • Approved abbreviations

    • Examples for each file type (contracts, invoices, quotes, reports, etc.)

  4. Set naming conventions per department.

    • Sales: ClientName_QuoteNumber_Date

    • Finance: Year_Month_DocumentType

    • Marketing: Campaign_Channel_Date

    • HR: EmployeeName_DocumentType_Year

  5. Add version control.
    Use V1, V2, V3. When the file is final, store it in a subfolder called “Final.”
    Keep old versions in an “Archive” subfolder.

  6. Review and align your team.
    Walk through the guide together and make sure everyone understands how to name new files. Assign one person to be the “File Champion” to check that everything stays consistent.
