Do you know that your team is wasting up to 80% of their time looking for documents and folders they can’t find?

It’s not because they’re unorganised. It’s because your company’s files don’t have a home.

If your business runs across desktops, personal drives, and hidden folders, you’re not only wasting time; you’re multiplying costs.

This week’s action step: Put your business in a folder.
Your goal: one clear structure where everyone knows what exists, where to find it, and who owns it.

How to do it in one hour

  1. Create one main folder with your company name.
This is your business home base.
Everything belongs here — not on random laptops or cloud links.

  2. Set up your main folders.
Use a simple structure anyone can follow:

    • 01 Admin & Legal

    • 02 Finance & Accounting

    • 03 Sales

    • 04 Marketing

    • 05 Operations & Projects

    • 06 HR & Team

    • 07 Strategy & Planning

    • 08 Templates & Assets

  3. Add subfolders where needed.
    For example, under Marketing:

    • Brand Assets

    • Campaigns

    • Content Ideas from CEO

    • Reports & Analytics

  4. Not everyone needs full access, but everyone should at least see what exists.
Visibility prevents duplication, delays, and unnecessary work.

  5. Define access levels.

    • Everyone: can view folder names and structure

    • Owners: can edit and upload in their area

    • Management: full access to admin and finance

  6. Clarity on access saves hours of back-and-forth and broken links.

  7. Create a “Start Here” guide.
A simple document called Folder Overview that explains what each folder contains and who owns it. New team member? They can find everything on day one.

What you gain in the first week

  • Less time lost searching for files.

  • Clear ownership for every document.

  • Easier onboarding and faster collaboration.

  • A team that feels organised, not overwhelmed.

  • Immediate savings in wasted admin time and cost.

Your action for today:
Block one hour next week to create your main company folder. Start small, keep it simple, and invite your team to learn what exists. The goal is not control. It is clarity. And clarity cuts costs faster than any new hire.
