The rule

  1. An automated email informs the client what information is needed to prepare a reliable quote within 24 hours.

  2. Every request is acknowledged in person from your team within one hour.

  3. When everything is provided, the quoting team confirms by email that the quote will be ready within 24 hours.

  4. If information is missing, the team reaches out quickly to fill the gaps.

  5. If the request is unclear, the client hears back as soon as possible, not days later.

How to set it up in one hour

  • Write a Standard Operating Procedure (SOP) that explains the steps above.

  • Add a checklist: Request received, Information complete, Confirmation sent, Quote prepared, Quote delivered.

  • Use automation so the quoting team is notified for each incoming request.

  • Create a shared quote template that anyone in the team can use.

  • Document the workflow so future team members can set it up without you.

  • Delegate tasks to complete the template and automations if needed.
